An exciting opportunity has arisen for an experienced and highly capable Executive Assistant to support a Managing Director within a small, family owned property business. This is a varied and hands-on Executive Assistant role, combining executive assistance, office management, tenant liaison and project support. The successful Executive Assistant will be comfortable working in a small office environment where no two days are necessarily the same and where a flexible, practical approach is essential. The role is approximately 90% business support and 10% personal support. Executive & Office Support Working closely with the Managing Director, responsibilities will include: Managing the Managing Director's diary and calendar Arranging meetings and preparing relevant information Managing correspondence, typing and general administration Maintaining both paper and digital filing systems Handling incoming post and general office administration Ordering office supplies and ensuring the smooth day-to-day running of the office Assisting with occasional personal administrative matters and errands Supporting the Managing Director and wider team with ad hoc tasks as required As this is a small office, the successful candidate must be comfortable being hands-on and helping with all levels of tasks. This may include making refreshments for the Managing Director and taking responsibility for practical aspects of the office. Tenant & Telephone Liaison The Executive Assistant will be the first point of contact for tenants and other callers during office hours, so a professional, friendly and polished telephone manner is essential. You will handle a variety of enquiries, including property-related questions and maintenance issues such as repairs, leaks, heating or boiler problems, access issues and contractor requests. You will not be expected to resolve technical issues yourself. Instead, you will be responsible for: Understanding and logging the issue Identifying the appropriate person or contractor Coordinating the response Following up where necessary Ensuring matters are progressed through to completion Strong organisation and communication skills will be important, particularly when managing several ongoing enquiries at once. AI & Technology Project The business is currently undertaking a project to modernise and develop its internal systems using AI and emerging technology. The successful candidate will be expected to take an active role in overseeing the implementation of AI within the office, including the development of the telephone and filing systems. You should therefore be comfortable with technology, interested in AI and willing to learn. You do not need to be an AI specialist, but you should be confident taking ownership of a project, working with new systems and helping to implement practical technological improvements. About You We are looking for an Executive Assistant who is professional, personable, organised and proactive, with the confidence to take ownership of their responsibilities. You will ideally have previous experience as an Executive Assistant in a similar professional environment. Most importantly, we are looking for an Executive Assistant with good judgement, a strong work ethic and a willingness to get stuck in. This is a role for someone who enjoys being involved, takes pride in keeping things organised and is happy to turn their hand to whatever needs doing.
