Job Description

Our HR team is small and busy, and we're working to become more strategic in how we manage and report on people data. To do that well, we need accurate, up-to-date information and a well-organised flow of everyday queries. This volunteer role will give us an extra pair of hands on the practical administration that keeps HR running smoothly. It's a great opportunity for someone who wants hands-on HR experience in a mission-driven organisation, and who enjoys detail, organisation and working with systems. What you'll be doing Keeping employee records accurate (Breathe HR) Entering and updating information for joiners and leavers Updating employee records using information from new starter forms and other sources, such as home addresses and equal opportunities data Helping us keep records current so our reporting is reliable Managing the HR inbox Sorting incoming queries into the right categories and directing them to the right person in the team Keeping a record of query numbers so we can understand the volume of work HR handles Over time, responding to general queries yourself, such as signposting colleagues to policies or where to find information Policy and template quality checks Checking that HR policies and documents follow our branding, formatting and version control standards, using a standard template as a guide Pre-employment checks Supporting routine administrative steps in the pre-employment process Process mapping (as time allows) Helping document how we do things, for example the steps involved when someone joins, so our processes are clear and easy to follow What we're looking for You don't need HR experience. We'll give you training. What matters most is that you: · Are comfortable using online systems and happy to learn new ones (full training on Breathe HR will be provided) · Can use Microsoft Word confidently · Are comfortable working with email · Have a strong eye for detail and accuracy · Understand the importance of confidentiality and data protection, and can handle personal information with care · Can work independently once you've been shown what to do, and know when to ask for help How it works Time: We're looking for around 10 hours a week, and we're flexible. That could be two hours a day, or longer sessions a few days a week. If you can offer a little more or a little less, let’s discuss. Location: This is a remote role. This is partly because of the confidential nature of the information involved, and partly because office meeting space is limited. Occasional office days can be arranged if helpful. Induction: You'll have two half-day induction sessions in your first week, covering the Breathe HR system, how we work, and confidentiality and data protection. Support: During your first two weeks, a member of the HR team will be available during your working hours so you can ask questions as you go. After that, you'll have regular check-ins and someone to go to whenever you need.
