JOB TITLE: Operations Coordinator

COMPANY: Digital

CONTRACT: Permanent

HOURS: 9am - 5pm Monday to Friday

START: ASAP

SALARY: £27,000 - £30,000pa

LOCATION: Remote, with an office in Southampton

THE ROLE:

• Provide comprehensive administrative support to the Operations Director, managing tasks, schedules, reports, and business activities.


• Maintain accurate records, trackers, spreadsheets, action logs, and organised electronic filing systems.


• Prepare, format, edit, and quality-check business documents, reports, templates, forms, and PDFs.


• Monitor deadlines, outstanding actions, and reporting requirements, proactively following up with relevant stakeholders.


• Support the administration and maintenance of governance, compliance, and ISO 9001 quality management systems.


• Ensure policies, procedures, records, and controlled documents are reviewed, updated, and compliant with audit requirements.


• Assist with tender submissions, supplier applications, and bid documentation, ensuring accuracy and timely completion.


• Maintain accreditation, insurance, and compliance records across customer, supplier, and industry portals, tracking renewals and requirements.


• Leverage approved AI and digital tools to improve administrative efficiency, document preparation, research, and business processes while validating outputs.


• Provide wider operational support through meeting coordination, stakeholder communications, client reporting, continuous improvement initiatives, and other administrative duties as required.

EXPERIENCE:

• Ideally 2-5 years' experience in an administrative, business support, operations, or coordination role.


• Strong organisational skills with the ability to manage multiple priorities and deadlines effectively.


• Excellent attention to detail and a proactive approach to maintaining accuracy and quality.


• Proficient in Microsoft Word, including the creation, formatting, and management of professional business documents and templates.
