About the Role We are looking for an experienced Import Coordinator to join our growing import operations team. This is a fast-paced role where you will be responsible for managing imported shipments from origin through to final delivery, ensuring excellent customer service, accurate customs compliance, and timely invoicing. You will work closely with customers, overseas partners, transport providers, customs teams, and internal departments to ensure all shipments are handled efficiently and professionally. Key Responsibilities Shipment Coordination Manage import shipments from origin through to final delivery. Arrange pre-shipment activities with overseas offices and origin partners. Ensure all shipments are correctly created and maintained within CargoWise. Monitor vessel arrivals and complete daily ETA checks. Ensure all relevant notes, documents and eDocs are accurately recorded. Customer Service Provide an exceptional level of customer service at all times. Resolve customer queries, issues and complaints in a professional manner. Build strong customer relationships and identify opportunities to provide additional services. Attend customer meetings when required. Support the onboarding of new customers and ensure operational requirements are implemented correctly. Customs & Compliance Ensure customs declarations are completed accurately and within required deadlines. Manage CFSP processes and maintain compliance with all HMRC requirements. Ensure customs entries are pre-lodged and checked thoroughly. Support customs audits and implement corrective actions where required. Manage C18 and C285 processes where applicable. Raise non-conformances and support continuous improvement initiatives. Transport & Delivery Management Coordinate delivery bookings and monitor shipment progress. Ensure consignments are cleared and booked within required timescales. Manage free time, lead times and availability to avoid unnecessary costs. Review unbooked and uncleared reports and take corrective action where needed. Financial Administration Raise customer invoices accurately and in a timely manner. Ensure shipment files reflect correct costs and profitability. Liaise with internal departments regarding rates, costs and customer queries. Produce customer-specific reports as required. Comply with company credit control procedures. Team Support Provide operational support across the department during periods of absence or increased workload. Assist with training and knowledge sharing across the team. Contribute positively to team morale and continuous improvement. About You We're looking for someone who can thrive in a busy freight forwarding environment, who is organised, customer-focused and able to manage multiple priorities. Essential Skills & Experience Previous experience within import freight forwarding or logistics. Strong understanding of customs procedures and import operations. Experience using CargoWise or similar freight management systems. Excellent communication and customer service skills. Strong attention to detail and accuracy. Ability to prioritise workload and work on your own initiative. Commercial awareness and understanding of operational profitability. Competent in producing reports and analysing operational data. Desirable Experience Knowledge of CNS, Destin8, CDS, ASM and/or Ricardo. Understanding of CFSP, bonded warehousing, NCTS, T1 movements and Home Use procedures. Knowledge of Bills of Lading and related documentation. Understanding of Incoterms. Knowledge of shipping schedules and feeder vessel operations.
