Personal Assistant to Assistant Directors Location: Office Based Pay Rate: £13.91 per hour Contract: 6-Month Temporary Contract initially Hours: Full Time About the Role We are looking for an experienced and highly organised Personal Assistant to provide a comprehensive and confidential support service to Assistant Directors within Adults and Cultural Services. This role is ideal for a professional PA or Executive Assistant who can manage multiple priorities, work with discretion, and provide high-level administrative support within a busy and fast-paced environment. You will act as a key point of contact for senior leaders, ensuring effective diary management, meeting coordination, correspondence handling, and stakeholder engagement. Key Responsibilities Provide a full personal assistant and secretarial service to Assistant Directors. Manage complex electronic diaries, appointments, meetings, and travel arrangements. Organise meetings, prepare agendas, collate papers, and take minutes where required. Handle confidential and sensitive matters with professionalism and discretion. Screen and respond to telephone calls, emails, and enquiries on behalf of senior leaders. Coordinate incoming and outgoing correspondence, ensuring actions are tracked and progressed. Draft and produce professional emails, letters, reports, presentations, and spreadsheets. Liaise with a wide range of stakeholders, including senior officers, councillors, MPs, external partners, and service users. Support the monitoring and progression of complaints and official correspondence. Assist in the production and distribution of departmental updates and communications. Provide support and cover within the wider Secretariat service as required. Maintain high standards of customer service and confidentiality at all times. About You The successful candidate will have: Previous experience in a PA, Executive Assistant, Senior Administrator, or Secretariat role. Experience supporting senior managers or directors. Excellent organisational and time-management skills. Strong written and verbal communication abilities. Experience managing complex diaries and scheduling meetings. Ability to prioritise a varied workload and work under pressure. Strong attention to detail and accuracy. Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint. A professional, proactive approach and the ability to maintain confidentiality.
