Job Description

Purpose To provide comprehensive administrative support across The Bridge Foundation's counselling, assessment, supervision and school-based services, ensuring the smooth day-to-day operation of the organisation, excellent client communication, effective record keeping and efficient support for therapists, managers and external stakeholders. Key responsibilities Provide day-to-day administrative support for therapists and managers. Assist with IT-related queries and provide basic technical support to staff. Contribute to the continuous improvement of administrative systems and processes. Help ensure compliance with organisational policies, procedures and safe working practices, including fire safety requirements. Undertake any other duties commensurate with the role and level of responsibility. Diary and Room Management Maintain the online room booking diary. Add new clients and bookings to the diary and ensure there are no scheduling conflicts. Manage bookings for private room hirers and coordinate external room bookings Staff Administration Collate staff holiday requests and maintain accurate holiday records. Ensure holiday forms are completed and stored appropriately. Monitor DBS renewal dates and process new and renewal DBS applications. Meetings and Training Organise Wednesday meeting schedules each term. Coordinate personal and group supervision schedules. Arrange Continuing Professional Development (CPD) sessions and training events. Schools and External Services Administration Provide administrative support to the Bridge in Schools (BiS) service. Respond to enquiries from schools and external partners. Provide routine IT and administrative support relating to school-based services. Reports and Documentation Proofread, format and distribute psychiatric diagnostic reports, autism assessment reports and ADHD assessment reports. Format, proofread and prepare a variety of documents, letters and reports. Support therapists and managers with general administrative tasks and document preparation. Complete the necessary administrative work for commissioned funding. Send documentation to clients, including appointment information and client agreements. Office and Facilities Administration Order, manage and replenish stationery, toys, equipment and office supplies. Assist with building maintenance and undertake basic DIY and practical tasks where appropriate. Help ensure the premises remain safe, well-maintained and welcoming.
