Job Title: Project Admin- EPMA
Location: Remote - Occasional travel for meetings and training
Salary: Up to £26,500pa DOE
Reports to: Clinical Systems Senior Programme Manager
Department: Digital Services
Please note you will be joining our team on a 12 month secondment working remotely with occasional as and when required.
Job Summary:
As a vital member of the Programme Management Office (PMO), you will provide the essential administrative backbone for the national rollout of the EPMA system. You will be responsible for maintaining momentum by chasing information, coordinating schedules, and ensuring that communication between the PMO and site teams is seamless.
This role requires a highly organized individual with a "can-do" attitude who thrives in a fast-paced environment. You will be the first point of contact for many queries, requiring a professional, helpful, and polite manner as you guide stakeholders to the right solutions.
Key Responsibilities
Project Coordination & Tracking
Momentum Management: Proactively chase responses, documentation, and data from site leads to ensure project timelines are met.
Systems Maintenance: Keep project management tools (e.g. Monday.com) up to date, ensuring the PMO has an accurate, real-time view of rollout progress.
Documentation: Manage the version control and storage of key project documents.
Meeting Support: Coordinate regular project calls, capture clear actions, and follow up with owners to ensure completion.
Communication & Triage
First Point of Contact: Act as a professional and friendly gateway for incoming queries, resolving administrative issues immediately or directing technical/clinical queries to the correct Lead.
Stakeholder Chasing: Build polite but persistent relationships with site contacts to secure the information required for planning and go-lives.
Information Flow: Ensure all project stakeholders are kept informed through clear, concise, and timely email updates or newsletters.
Key Skills & Experience
Experience
Project Admin/PMO: Previous experience in a Project Administrator, Coordinator, or PMO Support role is essential.
NHS/Healthcare: Experience working within a healthcare setting or a similar complex organization is highly desirable.
Fast-Paced Environments: Proven ability to manage a high volume of tasks and emails without losing focus or quality.
Skills
Communication Mastery: Exceptional written and verbal communication skills; able to be firm but polite when chasing deadlines.
Software Proficiency: Highly skilled in Microsoft Teams, Excel, and project tools like Monday.com.
Problem-Solving: The ability to "triage" a problem-knowing when to solve it yourself and when to escalate it to a Project Lead or Workstream Lead.
Organisation: Superior time-management skills with the ability to prioritise a shifting workload.
