Job overview To provide an efficient and effective secretarial service to consultants and junior medical staff working at BGH/RBH site.  To work as part of a team, promoting effective flows in the department to cover leave to ensure that systems and processes run smoothly in the absence of the dedicated secretary.  Periods of absence will be planned in advance to enable cover to be planned enabling the post holder to plan their work accordingly. Main duties of the job To provide  secretary service:  accurately producing from audio/copy, patient related correspondence /reports/discharges of a sensitive and complex nature, using appropriate software and within specific timescales To ensure a high standard of data quality at all times, in particular  ensuring that patient demographic details are accurate and up to date by using the patient Information System (EMIS) Communicate effectively with internal and external customers.  Act as a link regarding clinic appointments, reports and results with other departments and staff across the Health Board, GPs, other hospitals and Medical Centre To respond as requested to enquiries/ correspondence from GPs and patients, both written and by telephone, and act on such enquiries promptly and appropriately and at all times safeguard patient   confidentiality. Ensure queries are prioritised appropriately and where appropriate offer solutions to any potential problems. Transcribed letters - ensure all letters and associated documents are copied and distributed to the appropriate professionals, including patients.
