Job Description
We are seeking a dedicated Finance Assistant to support the Head of Finance in delivering high-quality financial services to a charity, for 30 hours a week. This role involves overseeing and executing key finance processes including accounts payable, payroll, and control account reconciliation. The ideal candidate will ensure the smooth operation of financial systems and compliance with regulatory requirements. Day-to-day of the role: Accounts Payable: Manage the purchase ordering system and associated processes. Ensure timely and accurate payment of suppliers and staff expenses. Post invoices through the finance system, in collaboration with the Cash Office & Finance Assistant, using PO data. Process and reconcile credit card expenses. Maintain a tidy Purchase Ledger, checking for duplicate invoices and clearing old balances. Accounts Receivable: Process BACS Direct Debits from supporters and manage amendments. Produce and post monthly invoices for textile recycling. Cash Management: Handle all bank account operations, including downloads, posting non-fundraising transactions, and reconciling accounts. Arrange ad hoc payments and account transfers. Maintain the cash book in the accounting system. Financial Control: Manage the Fixed Asset register. Reconcile specific control accounts on the balance sheet monthly. Payroll and Benefits: Coordinate with staff to ensure accurate payroll data. Process payroll and manage communications with the payroll bureau. Address staff pay queries effectively. Reporting: Assist in producing timely and accurate monthly finance reports. Other Responsibilities: Manage VAT returns and ensure compliance. Oversee the financial administration of the Lottery, including reporting to the Gambling Commission and managing prize disbursements. Respond to ad hoc queries from staff and stakeholders in a positive and timely manner. Fulfill any other duties as reasonably requested. Required Skills & Qualifications: Proven experience in financial management, particularly in accounts payable and payroll. Strong understanding of financial regulations and accounting principles. Proficient in using financial software and systems. Excellent organizational and communication skills. Ability to work independently and as part of a team. Attention to detail and problem-solving skills.
