Job Purpose
To provide high-quality administrative and business support to the Safeguarding Team within Children’s Services. The role ensures efficient coordination of processes, accurate record-keeping, and effective support for safeguarding activities, including Looked After Children Reviews and Child Protection Conferences, while maintaining strict confidentiality and professionalism. Key Responsibilities
Administrative & Business Support
- Provide comprehensive administrative support across financial systems and processes, including procurement card administration.
- Deliver accurate word processing services including letters, reports, minutes, and templates.
- Maintain and update electronic records using systems such as Mosaic and internal databases.
- Manage file retrieval and ensure accurate tracking of physical and digital records.
- Organise, attend, and minute sensitive meetings involving confidential information.
- Ensure meetings (virtual, hybrid, or in-person) are properly set up with required equipment.
- Complete follow-up actions and documentation within statutory deadlines.
- Work collaboratively across teams (including LADO and Quality Assurance) to ensure continuous administrative cover.
- Support coordination of safeguarding activities and team operations.
- Communicate effectively with families, professionals, and stakeholders.
- Maintain a high level of confidentiality when handling sensitive information.
- Provide professional and empathetic support in all interactions.
- Support performance management through accurate data entry and reporting.
- Undertake additional duties as required by the Business Support Team Leader in line with the role.
Essential Skills & Experience
- Experience in an administrative or business support role.
- Strong knowledge of administrative processes and systems.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
- Excellent written and verbal communication skills.
- High level of accuracy and attention to detail.
- Ability to handle confidential information with discretion.
- Strong organisational and time management skills.
- Ability to engage professionally with the public and stakeholders.
- Experience working within Children’s Services or safeguarding environments.
- Knowledge of systems such as Mosaic.
- Experience in public sector or local authority settings.
- Educated to GCSE level (or equivalent) – Essential
- Level 3 Business Administration (or equivalent) or relevant experience – Essential
- RSA II Word Processing or similar qualification – Desirable
